01 Quotation & Project Scope

Share part photos or drawings, material, print area, artwork, colours and target output. Add loading preferences, site power and compressed air, available space and delivery destination. If a specification is undecided, explain the product and production problem so the engineering team can review the options.

Ask for an itemised scope covering the machine, fixtures, printing tools, control system and any feeding, curing or inspection stations. Identify initial consumables, sample work, packing, transport, installation and training separately. Confirm the quotation currency, validity and delivery terms before comparing offers.

More colours can require additional stations, tooling, registration control or curing steps. Part geometry influences fixtures and handling. Share all product sizes and designs, then ask which tools are included and what future product or artwork changes would require.

Confirm the payment method, currency, deposit and balance milestones in the written quotation or contract. Link project approvals and acceptance requirements to clear deliverables. Payment terms, bank charges and any staged development payments should be settled before the order is placed.

Use the same product samples, artwork, colour count, target output and automation scope for each supplier. Compare included tooling, curing, inspection, documentation, commissioning and delivery terms. Ask suppliers to identify exclusions and assumptions so a lower price is not mistaken for an equivalent configuration.

Describe the trial objectives and expected future capacity. Discuss whether the proposed machine can be duplicated or expanded, which tooling can be reused, and what a later line integration would require. Confirm trial acceptance criteria and separate the current order scope from future options.

02 Printing Process & Sample Evaluation

The choice depends on material, shape, print position, artwork and finish. Pad printing is often considered for small or irregular surfaces; screen printing for suitable flat or cylindrical areas; and hot foil stamping for foil decoration. Product samples help assess tooling, pretreatment and curing requirements.

Request a sample evaluation using representative parts and the intended artwork. Agree sample quantities, shipping, preparation time, charges and what the evaluation includes before sending parts. Confirm whether the result demonstrates print feasibility only or also tests the proposed production method.

Specify the intended substrate, surface treatment and use conditions. Agree the checks, timing and acceptance criteria for appearance, registration and any adhesion, abrasion or chemical resistance requirements. A result applies to the tested material, ink, preparation and curing combination; changes may require another evaluation.

Provide drawings or samples for the smallest and largest parts, print locations and expected batch sizes. Ask which fixtures, pads, plates, screens or programs must change. Review adjustment ranges and changeover steps before assuming that every product will run on one configuration.

Material, coating and ink or foil selection determine whether cleaning, pretreatment or curing is needed. Supply parts in their actual production condition and explain handling and end-use exposure. Confirm the tested preparation and curing conditions before selecting auxiliary equipment.

Provide vector artwork where available, print dimensions, colour references and the required print position on a part drawing. Send representative production parts rather than a different material or finish. Confirm file formats, sample quantity and any fixture-development needs with the project team before shipment.

03 Machine Acceptance & Delivery

Agree the test parts, colours, loading method and acceptable finished output. Define the run conditions, curing steps, operator involvement and how results and open issues will be recorded. Compare sustained acceptable output under the agreed test conditions rather than relying only on a nominal cycle speed.

Include approved parts and artwork, print appearance and position, machine sequences, agreed output conditions and applicable safety-function checks. Record supplied tooling, manuals and accessories. Confirm the review method, responsible signatories and how outstanding items are resolved before shipment.

The schedule depends on the design scope, approval timing, sample availability, component procurement and testing needs. Ask for milestones covering design approval, build, acceptance and dispatch. State the required arrival date separately; transport and import clearance add time after production.

Identify the destination and agreed delivery terms early. Confirm packing details, invoice, packing list, transport documents and any project-specific technical or compliance documentation. Requirements depend on the machine and destination. Verify the exact documents and scope rather than assuming all equipment has the same certification.

Record changes to the product, artwork, machine functions or line interfaces in writing. Ask for their effect on design, tooling, cost, schedule and acceptance criteria before authorising the change. Keep an approved specification revision so both teams build and inspect against the same requirements.

Confirm machine dimensions and weight, packing method, loading arrangements, delivery terms and the named destination. Identify who books freight, arranges insurance and handles import clearance. Share receiving-site access restrictions early; unloading and positioning at your factory may be separate from international delivery.

04 Installation, Controls & After-Sales

Request the approved utility and layout requirements for the selected configuration: electrical supply, compressed air, access, working clearance and any ventilation or curing requirements. Review floor loading and delivery access where relevant. Do not prepare the site from a different model’s specification.

Document the required operating sequences, alarms, user levels, interface language and product settings. For line integration, identify signals, communication protocols and upstream/downstream responsibilities. Agree controller preferences, program backup or access, technical documentation and change-management scope before development.

Confirm whether commissioning and training are remote or on site, the language, duration, included tasks and any travel charges. Define buyer responsibilities for utilities, lifting, samples and personnel. Agree what documentation and handover checks operators will receive before the machine enters routine production.

Request written warranty coverage, duration, exclusions and the process for reporting faults. Distinguish consumables and wear parts from covered components. Ask for recommended spares, part identification and replacement guidance, and confirm availability, pricing and support arrangements for the selected machine.

Provide the machine model and serial number, alarm text, operating step, recent changes and clear photos or video where safe. Describe the part, program and consumables in use. Follow the supplied shutdown and service procedures; do not bypass guards or interlocks to reproduce a fault.

Discuss recipe storage, adjustment records, fixture identification and approved setup samples during control-system design. Ask which settings are saved automatically and which need manual checks. Agree backup and restore responsibilities and how software or tooling changes are documented.
